QuickBooks Consulting, Discovery and System Selection
Are you considering migrating to QuickBooks? And if you’re already using QuickBooks, are you thinking of changing your version and/or moving to QuickBooks Online? We conduct Discovery projects to help clients select the QuickBooks version best suited to their specific needs, and we also ensure they get the highest level of functionality out of their software, even if we determine that no migration is required. In cases such as those, we pinpoint where clients are under-utilizing or misusing their accounting software, correct any issues, and conduct training for proper and optimal use going forward (see QuickBooks Training below). If client record keeping and administrative requirements exceed QuickBooks, our Discovery process selects integrated apps to fulfill those needs and become elements of a seamlessly functioning accounting software ecosystem.
Migrating to QuickBooks
Whether a company is brand new or has been in existence for years, our team gets client companies up and running on the correct version of QuickBooks, Desktop or Online, that best suit their needs. We capture as much information as possible from their legacy system(s) and import it into QuickBooks. We convert companies from all kinds of legacy systems to QuickBooks, and we custom design the optimal workflows in QuickBooks and any required integrated apps. This provides staff in various departments with a smoothly functioning system and accurate, up-to-the-minute business intelligence.
QuickBooks Training
Following the system selection, workflow design and migration, we train our clients’ staff in the proper use of the software. This training takes place either in person or via Zoom online meetings, depending on the agreement in place with our client.
Automation
How do you enter your transactions into QuickBooks? Are they all keyed in manually? That’s so 20th century! We provide clients with options for bringing transactions into QuickBooks automatically, eliminating errors, opportunities for fraud, and information silos.
Retain Legacy System Customer, Vendor and Product History when Converting to QuickBooks
When converting from an old accounting system, it may not always be possible or cost-effective to bring historical detail such as customer invoices and purchase orders into QuickBooks. Nevertheless, clients often want access to this historical detailed information, and we understand the importance of having this access. In some cases, clients maintain the old accounting system alongside QuickBooks, running queries and reports against the historical data. This workaround is not always possible, economical, or even desired. We offer an alternative! We offload the historical information into an historical data warehouse where the information that is important to clients can be queried and reports can be generated. Examples of information that is typically retained include:
  • Customer sales history
  • Vendor purchase history
  • Product sales by item
Best of all, this information can even be combined with data in the new accounting system (such as QuickBooks) for more comprehensive “press of a button” reports.
Reports Inside of QuickBooks and Outside: Bridging Other Systems
Speaking of reports, we know that, depending on how QuickBooks is used and what version is in place, clients may have business reporting needs that go beyond what is available from the software. If a client has found that they have “hit the wall” as far as reporting and output from QuickBooks are concerned, we will first determine if there is any reporting functionality in their version of the software that may have been missed. If QuickBooks truly cannot provide the required reports and/or output, we create custom reports to extract the data that is lurking in QuickBooks to produce the properly formatted business intelligence reports the client requires. Furthermore, as indicated above, we also provide clients with the power to create reports that bridge QuickBooks (or other accounting software) with other systems. This eliminates the repetitive and error-prone tasks of exporting disparate reports to Excel and creating a patchwork of spreadsheets.
EDI
We provide our QuickBooks clients with EDI (Electronic Data Interchange) capability, so that they can conduct business with trading partners with EDI requirements.
Bookkeeping
While most of our clients are larger enterprises with their own accounting departments, we recognize that there are many companies out there with the need to be connected to reliable, professional outsourced bookkeepers. For our consulting and setup clients, we help with that as well.
